Pay Range
$37.25 - $44.72 - Hourly

Job Description
We have an opening for an Administrative Specialist supporting the LLNL Independent Diagnostic Scoring System (LIDSS) Flight Test Group. You will work independently, perform a full range of moderately difficult secretarial and tasked administrative assignments in an expeditious environment with frequent interruptions and conflicting priorities. This position will be in the Strategic Deterrence Directorate.
This position requires full-time on-site presence due to the nature of the work.
You will
- Coordinate extensive domestic and international travel for a team supporting DOE and DoD missions. This includes managing overtime and isolation pay memos for management approval.
- Represent management and serve as a resource in daily routine matters; interpret institutional and organizational procedures and serve as a resource to the team.
- Gather information from multiple sources, compile data and prepare complex reports and presentations.
- Independently compose administrative sensitive material for signature.
- Screen telephone calls, independently answer inquiries, make appropriate referrals, complete requests; process and disperse incoming mail.
- Manage complex calendars; independently determine scheduling priorities, committing, and managing time, and coordination of multiple attendees.
- Create and maintain databases, spreadsheets, and tracking/filing systems.
- Coordinate external visits, including verification of security clearances, preparation of agenda, badging, and information distribution.
- Assist with preparing documentation for mission planning, schedules & deliverables.
- Perform other tasks as assigned.
Qualifications
- This position requires an active Department of Energy (DOE) Q-level clearance or active Top-Secret clearance issued by another U.S. government agency at the time of hire.
- Experience includes accurate keyboarding, editing, grammar, and proofreading skills, knowledge of office procedures, techniques, and methods.
- Excellent organizational skills while in an environment of altering priorities, deadlines, and frequent interruptions.
- Exemplify advanced customer service and communication; both written and verbally, with all levels of personnel, internal and external to the Laboratory.
- Advanced experience compiling, tracking, monitoring, resolving, and reporting data and results.
- Exemplify a high degree of mature judgment in handling complex business sensitive and classified information, and personnel interactions.
- Advanced knowledge of computer software; to include a variety of databases, calendaring, and the ability to gain knowledge of new software.

Security Clearance
This position requires an active Department of Energy (DOE) Q-level clearance or active Top Secret clearance issued by another U.S. government agency at time of hire.

This includes, but not limited to cell phones, tablets, fitness devices, wireless headphones, and other Bluetooth/wireless enabled devices.
If you use a medical device, which pairs with a mobile device, you must still follow the rules concerning the mobile device in individual sections within Limited Areas. Sensitive Compartmented Information Facilities require separate approval. Hearing aids without wireless capabilities or wireless that has been disabled are allowed in Limited Areas, Secure Space and Transit/Buffer Space within buildings.
